Job Title: Administrative Assistant

Summary:

Administrative Assistant functions include administrative / correspondence duties for various departments and personnel as required including Executive Management, Accounting Sales, Human Resources, etc.

Reports to:

President, Executive Vice President and Plant Manager, Human Resource Manager or Executive Administrative Assistant

Qualifications:
  • Excellent communication and computer skills.
  • Five years experience in a related position.
  • Ability and patience to deal with a variety of people and difficult situations.
  • Organizational and planning skills.
Responsibilities:
  • Prepares a variety of correspondence for Executive Management, Accounting, and various Sales management personnel including letters to employees, customers, suppliers, and government agencies.
  • Coordinates special mailings to various customers, suppliers and employees as directed.
  • Maintains and updates Company Work Experience, Capabilities Manuals, Photo Library, and pre-qualification forms and Master Address listings for all Sales Groups.
  • Performs general administrative duties and special projects for Human Resource Manager, Accounting, as well as other managers.
  • Receives, screens, directs, and relays phone calls and messages in a professional manner.
  • Prepares presentations, and the distribution of reports for the Board of Directors, customers and suppliers.
  • Assists Human Resources with Payroll and other varies duties as requested.
  • Coordinates travel.
  • Accounts Payable daily responsibilities include entering material/equipment/SGA invoices into CMS, submitting invoices to Project Management for approval, A/P filing and various tasks on demand. Process and prepare SGA and expense report check run.
